What's inside

  • Projects database with status, owner, priority, and health fields
  • Tasks database linked to projects with per-project kanban views
  • Team workload view grouped by owner across every open project
  • Quarterly roadmap timeline view for stakeholder updates
  • Milestones database rolled up to each project's timeline
  • Program-level dashboard summarizing status across all projects at once
  • Status Updates database linked to each project, with a worked example showing the format
  • Risk/blocker log with severity and owner fields

Why it holds up

  • One dashboard shows every project's health without opening each page
  • Workload view prevents any one person from being silently overloaded
  • Roadmap view is built for a stakeholder update, not just internal use
  • Every task rolls up to its project and every project to the dashboard

The problem this solves

Most project trackers work fine for one project. The moment a team is running four or five at once, the real question stops being "what's the status of this project" and becomes "which of our projects need attention this week, and is anyone overloaded." That's a program-level question, and it needs a program-level view — which is exactly what the dashboard in this template is built around.

How the rollups connect everything

Tasks link to projects, milestones link to projects, and the dashboard rolls all of it up: project health, task completion percentage, and days until the next milestone, visible in one table without opening a single project page. The team workload view flips the same data sideways, grouping every open task by owner across every project at once, so overload shows up as a long list under one name rather than staying invisible across five separate project pages.

Setting it up for your team

Start in the Projects database: add your current projects with an owner, priority, and health status. Then populate tasks for the one or two projects that need it most right now — you don't have to backfill everything on day one. The dashboard and workload views will start showing real signal as soon as a handful of tasks have owners and due dates, and the roadmap timeline is ready to share with stakeholders as soon as projects have start and target-end dates set.

Questions people ask before buying

How is this different from the Sprint Planning Board?

Sprint Planning Board is single-team, sprint-based, and Scrum-flavored. This template is program-level — it's built for someone coordinating multiple projects (and possibly multiple teams) at once, without assuming any specific methodology like Scrum. Some teams use both together: this as the program view, Sprint Planning Board inside individual projects.

How many projects and people can this realistically handle?

It's built and tested for small to mid-sized teams — think 3-10 concurrent projects and up to roughly 15-20 people. Beyond that, Notion's database performance and the lack of resource-management features mean a dedicated portfolio tool will serve you better.

Do stakeholders need Notion accounts to see the roadmap?

You can share the roadmap timeline view as a public or workspace link without giving edit access, so stakeholders can view current status without a full Notion seat. Full editing still requires being added to your workspace.

Can I add custom project health statuses?

Project health is a formula rather than a field someone has to remember to update: it reads each project's status, open risks, days to target, and progress, and shows On track, Behind, Risks open, Overdue, Blocked, or Done. You can edit the formula to change the thresholds, such as what counts as behind, but its outputs aren't select options you can recolor. Each weekly status update also has a separate Health Called field (Green, Amber, Red) for the owner's own judgment, and that one is a plain select you can rename or recolor freely.
