- Works standalone with a simple text field for client name if you don't
The one number that matters: outstanding balance
It's easy to lose track of who owes you money when invoices live scattered across email sent-folders and a payment app's transaction history. This template keeps one running total — everything invoiced minus everything marked paid — so chasing a late payment is a five-second lookup, not a memory exercise.
A tracker, not a generator
This template deliberately doesn't try to design or send invoices — that's a job better done by dedicated invoicing software or your accounting tool, which handle tax fields, payment links, and PDF formatting properly. What it does is give you one place to log every invoice you've sent and see its status without hunting through email.
Pairing with a CRM
If you're also using Freelance CRM Pro, swap the plain-text client field for a relation to that database, and each client's page will show their full invoice history alongside their project and deal history — the same pattern used throughout NotionPulse's business templates.
Questions people ask before buying
Does this generate PDF invoices I can send to clients?
No — this is a tracking and status system, not an invoice generator. Create your invoice in whatever tool you already use to send it (an invoicing app, a doc, your accounting software), then log the amount, due date, and client here so you can track its status alongside everything else.
Do I need Freelance CRM Pro for this to work?
No, it works standalone with a plain text client-name field. If you do have Freelance CRM Pro, you can swap that field for a relation to link invoices directly to client and project pages.
How do I mark an invoice as paid?
Change its status property to Paid and enter the paid date. The outstanding balance rollups update immediately since they filter on status, not on a separate manual calculation.
Can I track recurring monthly retainer invoices?
Yes — right-click the previous month's invoice row and duplicate it, update the date and amount if needed, and log it. There's no auto-recurring invoice creation, but duplicating an existing entry takes seconds.
